Human Resources - Flex Convenience Debit Card FAQ


Q. How does my Flex Convenience Card work?
A. Your Flex Convenience Card works like any other MasterCard you may already have. When paying for an eligible purchase, simply swipe the card anywhere MasterCard is accepted.

Q. Does my Flex Convenience Card work anywhere?
A. No, the Flex Convenience Card only works at an authorized vendor, i.e. physician’s office, dentist, hospital or pharmacy. The Flex Convenience Card is programmed to work solely with vendors who have appropriate merchant codes. The Flex Convenience card is a MasterCard and will work only where MasterCard is accepted.

Q. Do I still need to submit verification of claims?
A. Verification of a transaction is required when the payment is from something other than office co-pay. Verification of the expense must be submitted in the form of an itemized bill/receipt or Explanation of Benefits. It must include patient name, date of service, description of service, service cost and patient liability. The documentation must be faxed to Elkin and Associates within three (3) days of the original transaction date using the Debit Card Verification Form.

Q. Can my Flex Convenience Card distinguish whether or not the expense charged is eligible?
A. No, the Flex Convenience Card only recognizes the valid merchant codes and your eligible balance. However, Elkin and Associates reviews all expenses. Elkin and Associates will request reimbursement of over payment via letter.Failure to refund the account within five (5) days of the request will result in termination of your Flex Convenience Card.

Q. Does Wage Works Corporation penalize me if I do not repay?
A. If you use the Flex Convenience Card of an ineligible expense, you are required to refund the plan. If the refund is not received within five (5) days of the request, your Flex Convenience Card is terminated.

Q. Does my Flex Convenience Card work for Dependent Care?
A. Yes, your Flex Convenience Cards works for dependent care where your provider accepts MasterCard. The Flex Convenience card will only allow you to swipe to the current cash balance. For example, if your current cash balance were $208.33 and you swipe for $208.34 the entire transaction would be denied.

Q. How will my Flex Convenience Card determine the appropriate account (health care vs. dependent care) to debit?
A. The Flex convenience Card reads eligible merchant codes at the time of the transaction. Merchant codes for Health Care Providers are different than Merchant codes for Dependent Care Providers. For example, XYZ Day Care Center would have a different merchant code than XYZ Medical Clinic.

Q. How does my Flex Convenience Card work if I only have $100 left in my account and I swiped it for $400?
A. The system only approves claims that are equal to or under the current balance in the account. In this situation, you would need to tell the merchant that they should swipe the card for $100 and pay the difference in a different way. If you swipe the entire $400 payment, the entire claim would be denied which, in this case, would be $400.

Q. May I obtain additional Flex Convenience Cards for my family members?
A. Yes, however, you will be charged a $5.00 set up fee for the additional cards.

Q. What should I do if I lose my Flex Convenience Card?
A. Contact Elkin and Associates customer service line (800-598-6843) to notify them of the lost card.  A new card will be ordered. There is currently no extra charge for this service.

Q. What if I over pay for a service using the debit card? Example: I pay my dentist $100 using the debit card, when I receive my “Explanation of Benefits” from the insurance company, I find my part of the bill was only $80. I am due a $20 refund.
A. You take your card back into the dentist’s office and have them credit your card back with the $20 overpayment. According to IRS guidelines, you should NOT receive a cash refund from the provider.
