Senior Administrative Specialist FLSA Status: Non-Exempt
General Definition of Work
Performs
intermediate skilled technical work providing a variety of assistance to a
department and coordinating projects, entering and analyzing data, maintaining
files and records, preparing reports, and related work as apparent or
assigned. Work is performed under the
limited supervision of the assigned departmental supervisor.

Essential Functions
Performs
duties in accordance with the City's keys to excellent customer service.
Processes
new employees; reviews information for accuracy and completeness; enters data
into computer system; requests motor vehicle records from Police Department;
verifies employment; responds to requests for information.
Assists
in new employees orientation; coordinates medical review and referrals; creates
employee personnel file and identification numbers; schedules new employee
training sessions.
Enters
payroll changes such as salary adjustments, promotions and departmental changes
into system; revises tax with holding information; adds, deletes and revises
benefit deductions.
Prepares
a variety of documents, reports, and forms; composes requests for information
and payment requests.
Assigns
street addresses for new residences; changes street addresses as needed.
Determines
property location and ownership.
Replies
to developer and contractor requests for service; answers questions on policies
and ordinances.
Performs
field inspections to determine compliance with ordinances and policies.
Delivers,
sets-up and maintains computer hardware; installs and updates system software;
reformats hard drives.
Receives
and processes radio repair orders.
Troubleshoots
and creates new queries, forms and reports for databases.
Assists
in the development of departmental budget.
Coordinates
the operation of the office; develops and maintains forms and procedures.
Provides
a variety of information to the public, other departments, vendors and
employees.
Operates
a variety of office equipment in performance of assigned duties.
Knowledge, Skills and Abilities
Thorough knowledge
of the philosophies, principles and practices of public administration; general
knowledge of the organization and administration of municipal government; general
knowledge of research and data analysis techniques; skill in the use of
computer hardware and software; general knowledge of research and data analysis
techniques; skill in the use of computer hardware and software; ability to
present ideas effectively, both orally or in written form; ability to prepare and maintain detailed and
technical records; ability to manage projects; ability to research, collect,
organize and analyze data, and to prepare technical reports and
recommendations; ability to establish and maintain effective working
relationships with associates and the general public.
Education and Experience
Associates/Technical
degree with coursework in public or business administration, administrative
technology, or related field and moderate experience in general office or
administrative work, or equivalent combination of education and experience.
Physical Requirements
This work
requires the occasional exertion of up to 10 pounds of force; work regularly
requires sitting and speaking or hearing and occasionally requires standing,
walking, lifting and repetitive motions; work has standard vision requirements;
vocal communication is required for expressing or exchanging ideas by means of
the spoken word; hearing is required to perceive information at normal spoken
word levels; work requires preparing and analyzing written or computer data and
operating machines; work has no exposure to environmental conditions; work is
generally in a moderately noisy location (e.g. business office, light traffic).
